Payroll & attendance · Zambia

Payroll built for Zambian employers.

PAYE, NAPSA, NHIMA and SDL worked out for you. Attendance taken from the clock rather than a spreadsheet. Every figure shown with the workings behind it.

How pay is worked out

Every run is computed twice.

Once from the terms in your own contracts, and once from the statutory rules Paymaster holds for Zambia. Whichever is higher is what gets paid — the statutory side is always on and cannot be switched off.

Overtime, rest days and public holidays are treated as premium time rather than flat hours. You can see the rate applied to every line, so the number on the payslip can always be traced back to the rule and the hours that produced it.

Computed from Your contracts
Computed from Statutory minimums
Paid: whichever is higher always on
PAYE
Banded income tax, applied to the correct base for each employee.
NAPSA
Employee and employer contributions, capped at the monthly ceiling.
NHIMA
Health insurance deducted on basic pay.
SDL
Skills development levy, calculated and carried into the journal.
Gratuity
Taxable or exempt, set the way your accountant tells you to treat it.

Rates, bands and ceilings are settings you can see and we keep current as they change. Paymaster does the arithmetic and shows its working — it does not replace your accountant or your own legal advice, and the figures you enter remain yours to check.

Hours you can stand behind

Attendance is measured, not typed.

Staff clock in on a biometric terminal and those punches become the payroll. No re-keying, no monthly spreadsheet, no one remembering what happened three weeks ago.

When a clock-out is missing, Paymaster says so before payroll can be finalised — it does not quietly fill the gap. Hours supplied by a person are marked as estimated, and who entered them is recorded.

The rest of the month

The work around payroll, in the same place.

Rosters and shifts

Weekly rosters by location, rotating shift patterns, swaps, and templates for the weeks that repeat.

Leave

Requests, balances and approvals, with entitlement accrued from each employee's own service record.

Employee portal

Payslips, attendance and leave requests, so staff stop asking the office for a copy.

Payslips

Emailed on finalisation, to every employee with an address on file.

Journal export

Payroll journals mapped to your own chart of accounts and exported to your accounting system.

Returns and reports

The figures you need for NAPSA, PAYE and NHIMA returns, and a reconciliation you can check.

Who it is for

Employers whose staff hours change.

Restaurants, retail, security, hospitality, agriculture — businesses where attendance decides pay, and getting it wrong is expensive in both directions.

Paymaster is built and supported in Zambia, by people you can reach. Not a global product with a Zambia setting bolted on.
